I’ve found my new home - what happens next?
Please ensure that all referencing forms given to you by your lettings negotiator at the time of paying your agency fee have been completed in full and signed. Failure in this may result in a delay to you checking in.
- A Referencing Agency will complete the following standard checks:
- Financial Profile including a full credit check
- Employment reference
- Landlords reference
(Variations of these references are required depending on your circumstances)
The referencing agency may contact you direct for further information regarding your application. Delays are possible where information from third parties can not be obtained. To minimise delays we recommend that you inform any third party such as your employer or previous landlord that they will be contacted by the referencing agency in due course.
Keylet Executive will notify you as soon as possible in the event of a change to your scheduled contract signing or check in date as a result of a delay in your referencing. If your references are returned as unsuccessful you will be contacted by a member of staff to discuss your options. Under these circumstances should the tenancy not proceed your agency fees and referencing charges will not be refunded.
Where a tenancy will be in the name of a company rather than an individual, Keylet will provide alternative referencing forms to be completed as different references will be required. These could include a reference from your accountant and/or a solicitor for example.
In these circumstances, the referencing forms will need to be completed by someone with the authority to provide the requested information in full.
Depending on your personal circumstances you may be asked to provide details of a Financial Guarantor. A financial guarantor is someone who agrees to pay your rent on your behalf should you experience difficulties making payment.
Your selected Guarantor must be:
- 21 +
- A UK based home-owner
- Related to you (ideally a parent/guardian)
- In full time employment (or able to provide proof of income if not currently employed)
Keylet require reference checks to be carried out for each guarantor.In addition, each guarantor must also complete a signed Keylet Executive declaration form which must be returned at the time of contract signing. This form must be witnessed by an independent party -you cannot witness your own form, or that of any joint tenant.
If you are unable to provide a financial guarantor your agency fees and referencing changes will not be refunded. However in certain circumstances and with agreement from the landlord, it may be possible for alternative arrangements to be made.
You will also be provided with a Direct Debit mandate.Rent is due on the Ist of each month and will be collected by Direct Debit on the 27th of the preceding month. Please ensure the Direct Debit instruction is completed and returned at the time of contract signing.
What will I need at my contract signing appointment?
- All members of the tenancy
- 2 forms of identification for each tenant - to include at least one with a recent photograph
- All completed Keylet ‘Financial Guarantor’ forms(where applicable)
- Any other supplementary referencing documentation that has been requested
- Completed Direct Debit Mandate
- Rent & Bond Deposit payment in full*
* Please note that if your contract signing appointment is less than 14 days prior to the commencement of your tenancy, you will be required to pay your bond deposit and first months rent payment in cleared funds (i.e. banker’s draft made payable to Keylet or credit/debit card). Your bank/building society may charge to you for issuing a banker’s draft.
Please note, Keylet operate a no cash policy.
In the event that you would prefer to transfer the required funds directly in to our client account please speak to a member of staff to obtain the correct bank account details and your personal reference code. When instructing your bank please allow adequate time for transfers. Keylet require all funds to clear into our account prior to your contract signing appointment. Please note that you may incur charges from your bank if you instructthem to perform a same-day transfer of funds.
All bond deposits are registered with, The Dispute Service in line with the Tenancy Deposit Scheme government regulations (www.direct.gov. uk/en/TenancyDeposit). This deposit will be held by Keylet during the period of the tenancy and subsequent extensions in a secured client account. You will be provided with a certificate of registration. You will be able to view details of your bond deposit by visiting our website www.keylet.co.uk – use the TDS icon together with your unique registration number.
Your contract signing appointment will only be completed once all other documentation has been received and checked. Please ensure that you have followed all of the above steps so that your appointment runs as smoothly as possible.
Where the tenancy is in the name of a company, please ensure that the necessary authority has been provided in writing from a company director to confirm that the representative has permission to sign the agreement on behalf of the company.
